Overview
Parsons is hiring a Head, Coordination and Document Control in Qatar. This role is responsible for shaping and continuously improving the organization’s document control framework and coordination practices so that all incoming and outgoing documents are accurately processed, tracked, filed, archived, and managed in line with internal standards and regulatory expectations.
You will supervise a small team and partner with internal departments as well as external stakeholders to improve consistency, transparency, and efficiency in information handling and documentation workflows.
Key Responsibilities
- Create and maintain an effective document control structure to support document management, retrieval, and archival activities.
- Oversee the secure handling of departmental records so that all received and issued documents are properly logged, filed, and stored.
- Assess current policies and processes, identify process gaps, and recommend improvements.
- Design and roll out upgraded systems and workflows that strengthen document control practices and reflect industry standards.
- Carry out recurring file checks and validation audits to confirm compliance with quality and regulatory requirements, and flag issues for corrective action.
- Enforce internal procedures related to document submission, record retention, document destruction schedules, and compliance obligations.
- Ensure document naming standards and internal formatting conventions are consistently followed.
- Track incoming and outgoing correspondence, ensuring mail is recorded and follow-up actions are completed promptly.
- Support clear communication between internal teams and external parties to keep document control requirements aligned.
- Monitor departmental action plans and follow up on progress to keep documentation-related tasks on schedule.
- Prepare detailed progress and performance reports covering applications, projects, and document control metrics for senior leadership.
- Take ownership of additional tasks as needed and manage priorities independently with limited supervision.
Required Qualifications
- Bachelor’s degree in Information Management, Business Administration, or a closely related field.
- At least 7 years of relevant experience in document control and coordination, including team leadership exposure.
- Hands-on experience with Integrated Workplace Management Systems (IWMS) or similar platforms.
- Working knowledge of building permit processes and associated documentation flows.
- Strong proficiency in Microsoft Office, including advanced Excel, Adobe tools, and EDMS solutions.
- Broad familiarity with real estate or facilities management operations.

- Strong written and spoken communication skills; Arabic is an added advantage.
- Excellent planning, prioritization, and time management abilities.
- Comfortable working under pressure while maintaining accuracy, quality, and professionalism.
- Detail-focused and highly organized, with a structured approach to processes.
- Collaborative mindset and ability to work effectively with multidisciplinary teams and stakeholders.
