Role Overview
The Pearland Police Department is looking for a highly capable and self-driven Executive Assistant to deliver advanced administrative support in a public service setting. This position supports the Chief and Assistant Chiefs and operates with general supervision while independently organizing work processes and priorities.
Compensation & Benefits
This role offers an hourly wage of $26.53 to $31.09, depending on experience. The city also covers 100% of employee dental, long-term disability, and life insurance premiums, along with most of the medical premium for employees and their dependents. Key Responsibilities
- Handle a range of administrative duties, including greeting visitors, setting up conference calls, and coordinating meetings.
- Draft correspondence on behalf of the Chief and Assistant Chiefs, including commendation letters, agendas, and other formal documents.
- Manage executive calendars and arrange travel when needed.
- Create reports, memos, letters, financial statements, and presentations using office software such as word processing, spreadsheets, databases, and presentation tools.
- Coordinate office operations such as records management, departmental finance support, and housekeeping services.
- Answer incoming calls, route them appropriately, and take messages when required.
- Process invoices for payment, scan invoices and packing slips, and support the training team with per diem and reimbursement processing.
- Assist with payroll preparation by entering time, tracking leave requests, updating timeclock records for work hours and missed punches, pulling reports, and obtaining approval from the director.
- Protect sensitive information by scanning, filing, and archiving documents in the department’s software systems.
- Help organize ceremonies, prepare presentations, and coordinate large-scale training events.
- Support the preparation of information for Public Information Requests.
- Build and maintain productive relationships with groups and organizations that work with the Police Department.
- Offer confidential, trusted advice and input to leadership on a variety of matters.
Qualifications
- An associate degree or equivalent specialized training/coursework, representing completion of two years of college in business or a closely related field, is required.
- At least four years of mid- to senior-level administrative support experience or similar experience is required.
- A valid Texas driver’s license is required.
- Notary Public status is required.
