Role overview
Roth&Co, a rapidly expanding mid-sized CPA firm, is hiring a detail-focused Executive Assistant to work closely with the Head of Tax Practice. This is a full-time onsite position in Brooklyn, NY that blends senior-level administrative support, team coordination, and accounts receivable work in a dynamic professional setting.
Key responsibilities
- Act as a dependable administrative partner to the Tax Department leader by staying ahead of needs and helping keep work moving smoothly.
- Handle complex calendars, meetings, and both professional and personal travel and scheduling arrangements.
- Coordinate client communication, phone calls, and Zoom or Teams meetings, including scheduling and setup.
- Monitor incoming email, identify priorities, and make sure follow-ups are completed on time.
- Assist with department operations by tracking metrics, workload, and important deadlines.
- Organize meeting details such as logistics, agendas, materials, and follow-up tracking.
- Support accounts receivable activities for partner clients, including aging report review and outreach for overdue invoices.
- Help drive collections and keep financial records accurate and up to date.
- Assist with proposals, engagement letters, client onboarding, and special projects as needed.
- Maintain internal tracking tools and contribute to overall departmental organization.
Requirements
- At least 2 years of experience providing administrative support in a busy, professional environment.
- Strong planning and multitasking abilities with the capacity to handle several priorities at once.
- Excellent communication skills, both written and verbal.
- Solid working knowledge of Microsoft Office Suite; experience with financial platforms or CRM systems is an advantage.
- High attention to detail and a consistent focus on accuracy.
- Sound judgment, discretion, and the ability to handle confidential information responsibly.
- Comfort working independently while supporting senior leaders.
- Flexibility to adapt to changing priorities and shifting demands.
- Proactive work style with strong ownership and follow-through.
