Role Overview
The CAFM System Operator will oversee the daily use and upkeep of the Computer-Aided Facilities Management platform for an integrated facilities management environment in Riyadh. The role focuses on keeping records accurate, handling work orders efficiently, supporting space and asset tracking, and producing reports that help FM operations run smoothly.
CAFM System Administration
- Run the CAFM platform on a day-to-day basis and keep it functioning effectively.
- Enter, review, and refresh information related to assets, spaces, and maintenance activities.
- Control user permissions and system settings according to the level of authority granted.
- Assist with software updates, testing activities, and rollout of additional modules.
Work Order Management
- Accept, record, and route work orders through the CAFM system.
- Track job progress and help ensure tasks are completed on schedule.
- Work closely with FM teams, vendors, contractors, and service partners.
- Prepare daily and weekly updates on work order status.
Asset and Space Management
- Keep the asset database current and complete inside the CAFM platform.
- Record asset history, including installations, maintenance records, and disposals.
- Assist with space allocation, space planning, and occupancy monitoring.
- Support FM compliance by maintaining accurate and standardized records.
Reporting and Data Analysis
- Create KPI summaries, dashboards, and operational performance reports.
- Review maintenance patterns and identify repeated issues or trends.
- Provide information that supports informed management decisions.
- Prepare monthly reports covering FM performance.
User Support and Training
- Assist FM employees and system users with CAFM-related queries.
- Deliver basic onboarding and training for new users.
- Diagnose routine system issues and pass complex technical problems to the relevant team when needed.
Compliance and Documentation
- Make sure all FM-related activity is properly captured in the CAFM system.
- Support ISO 55001 alignment and FM best practices where applicable.
- Maintain well-organized, audit-ready documentation for inspections and compliance checks.
Qualifications
The ideal candidate should hold a diploma or bachelor’s degree in Engineering, Information Technology, or Facilities Management. Prior exposure to CAFM platforms such as Archibus, Planon, or Maximo is expected. Strong Excel and reporting capability is important, along with a working understanding of facilities management operations.
