Role overview
This role is being filled through a partner organization, which will handle applications and all subsequent hiring steps. The position is for a Payroll Specialist located in the United States. You will work in a global, mission-focused setting where precise and compliant payroll execution is critical to supporting employees across several regions.
The role carries responsibility for full-cycle payroll operations in the U.S. and Canada, with a focus on paying employees accurately and on schedule while staying aligned with regulatory requirements. You will be a key payroll specialist, working closely with Finance, People & Culture, and outside vendors to keep payroll running smoothly. This is a hands-on role for someone who is highly detail-oriented, analytically strong, and comfortable managing payroll across multiple countries. You will also help with audits, account reconciliations, process enhancements, and year-end activities, contributing directly to operational accuracy and consistency. The environment is collaborative, precision-driven, and centered on employee experience.
Key accountabilities
- Run biweekly payroll for salaried and hourly staff in the U.S. and Canada through ADP Workforce Now, maintaining a high standard of accuracy and compliance.
- Review payroll inputs and reconcile payments across teams, sites, and countries while applying payroll policies correctly.
- Post payroll journal entries and assist with month-end and year-end reconciliation work.
- Maintain compliance with all relevant U.S. federal and state as well as Canadian federal and provincial payroll rules.
- Manage employee deductions and contributions, including 401(k), RRSP, and related benefits programs.
- Act as the main contact for payroll questions from employees, internal partners, and external vendors.
- Investigate and correct payroll issues, and help respond to audit requests from internal and external stakeholders.
- Support payroll system changes, upgrades, and improvement initiatives.
- Document payroll workflows and assist with training or knowledge transfer when needed.
- Contribute to year-end reporting, compliance tasks, and payroll audit activities.
Requirements
- At least 5 years of practical payroll experience covering both U.S. and Canadian payroll.
- Deep familiarity with ADP Workforce Now or similar payroll platforms.
- Strong understanding of payroll compliance, benefits administration, and year-end processing.
- Demonstrated experience with reconciliations, payroll journal entries, and support for financial reporting.
- Excellent analytical ability, problem-solving skills, and careful attention to detail.
- Clear communication skills for working with internal teams, external partners, and senior leaders.
- Payroll certification such as PCP, CPM, FPC, or CPP, or a background in accounting/finance, is strongly preferred.
- Experience in payroll operations spanning multiple jurisdictions.
- Strong organization and the ability to meet deadlines in a structured, accurate way.
