About the Role
This position is for an operator who will own the company’s work-readiness process. Every client engagement must pass through a readiness checkpoint before it reaches the technical team. Your role is to make sure each engagement is complete, well-organized, and genuinely prepared for execution before any billable time is spent. By the time accountants and finance professionals begin work, everything they need should already be in place.
This is not a standard coordination role. It is designed to remove operational drag. Documents must be gathered. Access must be verified. Data must be complete. Deadlines must be up to date. Client communication must stay organized. Nothing should advance until it is truly ready.
The role is intentionally binary: a client file is ready for technical work, or it is not. You own that checkpoint. From the start, you are also responsible for automating the manual work within the function and building the systems that replace it. Performance is measured by output rather than hours worked, and reducing manual effort is considered a sign of success.

What You Will Do
Work Readiness
- Manage the readiness gate by keeping real-time status updated for every active client engagement and only releasing work when documents, access, data, and deadlines are complete
- Handle document collection end to end by sending proactive request lists, tracking outstanding items, and making sure every request is closed before its deadline
- Download, sort, and validate bank, credit card, loan, payroll, and payment processor records needed for client work
Workflow Management
- Maintain the firm’s compliance calendar so every client deadline stays accurate and current
- Review every inbound notice, client message, and document within 24 hours by logging it, categorizing it, identifying the deadline, routing it with context, and confirming closure
Systems Improvement
- Create and continuously refine the systems used for document collection, workflow tracking, client communication, and deadline management
- Reduce the technical team’s time spent chasing inputs quarter over quarter; this will serve as a key performance metric
Operational Leadership
- Proactively remove operational friction before it reaches the technical team
- Use judgment to contact clients and statement providers directly and close open items
- Spot bottlenecks, suggest improvements, and strengthen the flow of work through the firm
