Role Overview
Canvas Meetings & Incentives is seeking a Meeting Coordinator to support the planning and delivery of meetings, conferences, and other events from a remote setting. This position reports to the Director, Event Operations and is intended to begin on Aug 5, 2026. The salary range is $53,000 to $58,000, along with benefits.

What the Role Involves
This position calls for someone who is highly organized, detail-focused, and comfortable working in a fast-moving remote environment. The coordinator will help manage event logistics, maintain smooth communication with attendees and vendors, and support the overall success of each program.
- Partner with the Lead Planner on the assigned project scope and support a wide range of event coordination tasks.
- Build and maintain registration websites for client programs, including conditional logic that improves the attendee experience.
- Track registrations and related details such as accommodations, travel requests, dietary needs, and personal information.
- Check rooming lists, flight manifests, and ground transport records to ensure accuracy.
- Act as the main contact for attendees by sharing program information and responding to questions.
- Coordinate with air and ground transportation vendors to organize seamless travel arrangements.
- Source, negotiate with, and manage suppliers based on program requirements.
- Assist with on-site and off-site logistics so events run smoothly and professionally.
- Keep an eye on the many moving parts of event operations to meet client expectations and improve attendee satisfaction.
- Review and match event invoices, support timely vendor payments, and help complete financial wrap-up tasks.
- Represent the company professionally across all areas of hospitality and event delivery.
- Take on additional assignments from the Director, Event Operations as needed.
Required Experience and Skills
The ideal candidate brings a strong hospitality and event background, along with the ability to manage several priorities at once while maintaining accuracy and excellent service.
- At least 3 years of experience in hospitality, meetings, events, travel coordination, or a closely related field.
- Proven background handling attendee travel, rooming lists, and ground transportation logistics.
- Comfort using Excel, Google Suite, CRM tools, and event technology platforms.
- Experience balancing multiple projects and priorities in a demanding environment.

Must-Have Qualifications
- Authorization to work legally in the United States.

- Availability and willingness to travel for programs up to twice a month, including occasional back-to-back travel during busy periods.
- Travel requirements may change depending on program needs.
- Valid U.S. passport.
- Comfort working with international participants, government officials, and people from diverse cultural backgrounds.
- Understanding of international business etiquette, including formal titles, diplomatic protocol, and VIP service expectations.
