Role overview
This position supports a positive workplace experience for employees, customers, and guests at Ivanti’s Australia office. As part of the Global Workplace Solutions team, you will help keep the office safe, organized, and operating smoothly so teams can stay productive and collaborate effectively.
The role has a direct effect on day-to-day operations, employee experience, vendor coordination, and the overall running of the site. It is a part-time, on-site role based in Sydney, working Monday to Friday from 8:00 a.m. to 12:00 p.m.
Key duties
- Act as the main in-office contact for workplace operations and make sure the site runs efficiently.
- Provide day-to-day support to employees, leaders, and visitors through strong service, meeting assistance, and general office administration.
- Oversee workplace services such as security, cleaning, waste collection, catering, mail handling, parking, and office supplies.
- Arrange meeting room bookings and help plan and deliver on-site meetings and events.
- Work with the local property management partner and external vendors to maintain high standards across the workplace.
- Assist with VIP visits and help create a polished, welcoming experience for customers, guests, and employees.
- Look for ways to improve workplace processes, strengthen the employee experience, and support cost-efficient facilities operations.
Experience and capabilities
Applicants should bring up to 2 years of experience in facilities coordination, workplace operations, office administration, or a similar environment. A strong customer-focused approach, the ability to handle several priorities at once, and excellent communication skills are important for success in this role. You should be comfortable working on your own while also partnering with wider teams. Confidence using Microsoft Office tools such as Outlook, Word, Excel, and Teams is also expected, along with a professional manner and good judgment when handling sensitive information.
Preferred background
It will be an advantage to have experience in a global or distributed organization, managing vendor relationships, supporting workplace services, working with health and safety or compliance practices, or assisting executive-level or VIP visitors.
