Role Overview

As an Intake Specialist, you will be the first person many patients, caregivers, and referral partners speak with. You will help people move from their first inquiry to a scheduled visit by answering questions, explaining coverage, creating charts, and making sure the intake process stays organized and complete.

Key Focus Areas

The position is centered on intake and enrollment, with additional ongoing support for existing patients and internal care coordination. Success in the role depends on clear communication, attention to detail, strong follow-through, and a warm, non-judgmental approach.

Intake and Enrollment

Serve as the initial contact for individuals seeking treatment for substance use disorder, ensuring every interaction feels welcoming and respectful.
Check insurance eligibility and explain coverage details in simple, easy-to-understand language.
Create patient charts, arrange first appointments, and guide new patients through onboarding efficiently and carefully.
Maintain the schedule proactively to reduce open slots and keep the Care Team operating at capacity.
Document information accurately and thoroughly in patient records and the CRM.

Ongoing Patient Support

Reach out to patients for appointment reminders, rescheduling, and follow-up coordination.
Share practical, on-the-ground insights with the Care Team to support smoother operations and better patient care.

What You Need

The ideal candidate brings at least 2 years of healthcare experience, with exposure to scheduling, patient support, referrals, billing, or insurance navigation. You should understand healthcare and payer terminology and have a basic familiarity with addiction medicine. Strong written and spoken communication is important, especially in a remote setting. The role also calls for comfort using digital tools such as Microsoft Office, video meeting platforms, spreadsheets, and CRM systems. You should be self-driven, highly organized, and able to balance multiple priorities while staying detail-oriented. A patient-first mindset and a collaborative working style are essential.

Preferred Background

Extra value will be given to candidates who have worked in a startup or other fast-moving environment, have direct experience in substance use disorder treatment settings, or speak both English and Spanish.

Location Preference

Steadfast Health is prioritizing candidates who live in states where it currently provides services: Ohio, Tennessee, and North Carolina.

Schedule

The anticipated work schedule is Monday through Friday, 8:30 a.m. to 5:00 p.m. Eastern Time. The company notes that this schedule may change as business needs evolve, and flexibility may be needed as the organization grows.

Employment Details

This is a full-time W-2 role with a starting pay range of $24.00 to $27.00 per hour, depending on experience.
