Role Overview
Split Second is hiring an Executive Assistant to support its CEO in a busy, high-energy environment. The right candidate will be detail-oriented, adaptable, and comfortable working with strong personalities in the music industry. This position calls for someone who can balance discretion, organization, and quick decision-making while keeping executive operations running smoothly.
Key Duties
- Oversee executive admin tasks such as calendar management, arranging internal and external meetings, filing expense reports, and organizing travel for the CEO.
- Serve as a communication hub for internal staff, clients, and outside partners by relaying information and coordinating meeting logistics and other operational needs.
- Prepare leadership and committee agendas, compile supporting materials, assemble agenda packets, arrange agenda distribution, attend meetings, take electronic notes, and help convert resolutions, motions, and actions into draft minutes for approval.
- Produce correspondence and reports, convert rough notes into polished drafts, research issues, support presentation development, and maintain confidential administrative records.
- Handle incoming communication by phone, email, and mail, including screening messages and following up as needed.
- Arrange complex domestic and international travel, including flights, hotels, transportation, mileage programs, upgrades, and last-minute itinerary changes.
- Provide on-site support for company meetings, shows, and events, and represent the company when needed.
- Purchase supplies, process authorizations for travel, training, memberships, subscriptions, vendors, and service providers, and assist with errands or personal tasks for senior executives when required.
- Support special projects for staff across other companies within the CEO’s area of oversight.
Candidate Profile
- Strong attention to detail, solid business fundamentals, and excellent verbal and written communication skills are essential.
- At least 1 year of prior experience in an executive assistant or senior administrative support role is required.
- Experience in music or entertainment is strongly preferred.
- Applicants should be highly organized, analytical, able to manage multiple priorities, and effective in fast-moving settings.
- Comfort using social media platforms such as Instagram, Twitter, Facebook, YouTube, TikTok, and SoundCloud is expected.
- Proficiency with MS Word, MS Excel, and Google Docs/Sheets is required.
- The role requires discretion, sound judgment, initiative, the ability to solve complex problems, and the capacity to build positive working relationships.
