About the Role
Opensity Solutions is hiring a permanent, full-time Document Services Specialist to support document production, administrative work, and clerical tasks. The company’s mission is to deliver updated technology platforms, stronger technical support, and practical insights so clients can do their best work.
This role is scheduled for 40 hours per week and includes full medical, dental, and vacation benefits. You will work under general guidance from the coordination team while managing assigned tasks in the client’s daily operations. The role also involves regular communication with client staff to share progress updates and encourage collaboration with end users.
Work hours are fixed at Monday through Friday, 3:00 pm to 11:30 pm EST, no matter where you are located.
Responsibilities
- Build, revise, reformat, and convert documents with support tools such as Microsoft Office, PDF editors, and transcription software.
- Prepare and refine advanced documents, spreadsheets, and charts.
- Support special projects with coordination and administrative assistance.
- Handle urgent and confidential materials carefully and efficiently.
- Carry out document diagnostics to identify and resolve inconsistencies.
- Create or update work product through keyboard input, scanning, or electronic conversion, and transcribe audio and digital dictation, including deposition transcripts when needed.
- Check spelling, proofread content, and verify documents for completeness and accuracy.
- Stay current on specialized applications and software updates to maintain strong productivity and efficiency.
- Share feedback and observations on team performance when asked.
- Encourage cooperation, confidence, and a positive team environment.
- Offer direction, instructions, and support to team members.
- Help review reworked or lower-quality output from other team members.
Requirements
- High school diploma or GED.
- Preferred background of 2 to 5 years in document outsourcing or the legal sector.
- Ability to learn the role through in-person training, remote training, and self-directed learning.
- Strong self-motivation and the ability to work with little direct supervision.
- Practical knowledge of Microsoft Outlook, Word, Excel, and PowerPoint.
- Exposure to Adobe Acrobat or Kofax for PDF editing is an advantage.
- Excellent spelling, grammar, punctuation, sentence structure, and proofreading skills.
- Ability to manage, organize, and prioritize multiple tasks.
- Comfort working under pressure while meeting deadlines and maintaining quality.
- Strong communication, interpersonal, teamwork, and customer service abilities.
Compensation and Benefits
The hourly pay range for this position is USD 22.00 to USD 26.00, and the role may also qualify for an annual bonus. Final pay will depend on the candidate’s location, skills, experience, and qualifications.
