Role overview
This junior Human Resources position is based in Bain’s London office and offers practical exposure to a broad mix of HR activities in a professional services setting. The role reports to the Specialist, Human Resources, and supports HR operations, immigration and mobility work, employee lifecycle administration, documentation, data accuracy, and day-to-day coordination.
Key duties
- Manage and track leave-related processes for the London office, including short-term medical leave.
- Handle parental leave documentation for consultants and update Workday with relevant dates.
- Run parental leave briefings for Associate Consultants through Consultants and support the full leave lifecycle.
- Monitor HR metrics and trends when required.
- Contribute to updates of the London Employee Handbook.
- Assist with onboarding and offboarding coordination and other employee lifecycle tasks.
- Support Workday data checks and transfer-related transactions.
- Help with HR projects such as process improvements, policy updates, and reporting.
- Prepare and keep HR guides, documents, and internal resources current.
- Provide general support to the HR team during busy periods.
- Initiate client background checks when needed.
- Maintain accurate and compliant consultant personnel files.
- Carry out routine audits of London HR files.
- Manage the HR inbox, handle queries, and escalate issues where appropriate.
- Ensure HR intranet pages stay updated.
- Support additional HR activities during peak workloads.
- Work with the wider HR function to deliver a consistent, high-quality service.
- Support visa processes for new hires, transfers, and extensions.
- Maintain records for right-to-work checks and visa expiry dates and escalate concerns as needed.
- Complete right-to-work checks for the London office and ensure documentation is complete.
- Assist with inbound and outbound transfer processes, including related documentation and onboarding/offboarding coordination.
- Coordinate with internal stakeholders and external partners such as immigration advisors and relocation vendors.
- Draft standard immigration letters and related documents, including ILR, maintenance, business invitation, and Schengen visa letters.
- Support mobility tracking for short-term assignments and business travellers.
- Help with A1 certificate filings when required.
- Prepare immigration paperwork for mock audits and close any identified gaps.
- Inform immigration advisors of visa-related changes such as promotions and pay adjustments.
- Maintain and refresh transfer trackers.
- Review and code immigration and mobility invoices against quotations, policies, and contractual terms.
- Request transfer agreements through the online portal.
- Assist with mobility programmes as needed.
Working arrangements
This position follows a hybrid pattern, with an expectation of being in the office 3–4 days each week depending on business needs. Standard hours are 9:00am to 5:30pm, Monday to Friday, and some flexibility is expected, particularly during busy periods.
