Role overview
Virtual Coastie is looking for a contract virtual bookkeeper to support its expanding tradie bookkeeping business across New Zealand. This is a remote role with a minimum commitment of 30 hours per week, and there is scope to increase to 40 hours as the client base grows. The pay range is $35 to $45 per hour for a contractor arrangement. Applications close on 26 June, and the role reports to the business owner.

The company is growing and is seeking someone who wants to build long-term relationships, contribute proactively, and become a trusted extension of client businesses.
What success looks like
You will be considered successful when clients feel well supported and clearly understand the status of their work. Invoices should go out on time so cash flow keeps moving, supplier bills must be handled accurately so expenses are tracked correctly, and both Fergus and Xero should remain consistently up to date.
Key duties
- Manage bookkeeping work for trade business clients with accuracy and care.
- Keep Xero records current and organised.
- Process supplier bills correctly and maintain visibility over outgoing payments.
- Prepare and send invoices promptly.
- Support client communication and ensure they feel informed and looked after.
- Work within provided systems, training, and support to deliver a strong client experience.
- Use judgment to follow tasks through to completion and ask for help when needed.
Working style and availability
The role offers flexibility, but availability during business hours is important. You should be able to commit to at least 3 to 4 hours each weekday during standard New Zealand business hours, 8:00am to 5:00pm NZ time, for meetings, client contact, and collaboration with the team. The rest of the work can be completed at times that suit you, as long as deadlines are met and client needs are covered.
What you will need
- Strong hands-on experience with Xero.
- Understanding of how trade businesses operate.
- Good organisational ability and confidence working with systems and processes.
- A proactive approach with a sense of ownership and follow-through.
- Comfort communicating directly with clients.
- Ability to work independently while knowing when to seek support.
- Careful reading and attention to detail.
- Your own home office setup, including a reliable internet connection and suitable computer equipment.

- Experience with Fergus and Asana.
- Customer service or client support experience.
