Position Overview
The Product Development Coordinator supports the Product Development function by keeping projects organized, managing calendars, tracking samples, and coordinating across teams. The role helps maintain clear communication between internal stakeholders and external manufacturing partners while keeping day-to-day product development work running smoothly.
Key Responsibilities
Product and sample coordination
- Monitor all incoming and outgoing product samples and packages.
- Keep the Product Development, vendor, and competitive product closets orderly, fully stocked, labeled, and easy to access.
- Handle sample requests and distribution for teams such as Operations, Marketing, Social, Education, and other groups as needed.
Product development operations
- Review reorder batches and decide whether to approve, reroute, or escalate them based on existing rules and business priorities.
- Support product development processes by ensuring timely communication and follow-through on important tasks and launches.
Meeting and calendar coordination
- Manage the Product Development team calendar.
- Arrange internal meetings and meetings with vendors, external partners, and contract manufacturers.
- Prepare meeting details and share required materials ahead of time.
- Organize agendas and write recaps for meetings.
Cross-functional communication
- Send weekly new product launch presentations to the Product Development and Marketing teams.
- Act as a central contact point between Product Development and other teams to align on sample requirements, timelines, and project milestones.
Executive and vendor support
- Join Product Development meetings with the Founder & CEO and provide support during those sessions.
- Attend meetings with contract manufacturers to help with communication, project tracking, and follow-up actions.
- Build and maintain effective working relationships with external manufacturers and vendors.
Qualifications
- Excellent organizational and project management abilities, with strong attention to detail.
- Comfort handling several priorities at once in a busy, fast-moving setting.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office and Google Workspace.
- Ability to collaborate across departments and work well with outside partners.
- 1 to 2 years of experience in beauty, cosmetics, product development, merchandising, or a related area preferred.

Work Arrangement
This is a hybrid role with four days in the office and one day working remotely. The position is based in the New York City Metropolitan Area.
