Role Summary
This is a full-time, on-site Front Desk position in Settlement, Nakuru, Kenya. The selected person will serve as the first point of contact for guests and callers, offering a warm welcome, answering and directing calls, and handling general questions in a polite and professional way. The role also involves keeping the reception area well managed, overseeing visitor entry and sign-in procedures, and ensuring the front desk space stays tidy and organized. In addition, the position includes routine administrative support such as scheduling appointments, coordinating meeting room reservations, receiving and sorting mail and parcels, and assisting internal teams with front office coordination. Reliability, punctuality, a strong service mindset, and the ability to manage several tasks while maintaining a calm, friendly presence are essential.
Responsibilities
- Welcome visitors and callers, and create a professional first impression for the office.
- Answer incoming calls, direct them appropriately, and respond to basic enquiries courteously.
- Manage visitor check-in, access control, and sign-in procedures.
- Keep the reception area clean, organized, and presentable at all times.
- Arrange appointments and coordinate meeting room bookings.
- Receive, record, and distribute mail and packages.
- Support internal staff with front office coordination and general administrative tasks.
- Maintain a calm, helpful approach while handling multiple requests.
Requirements
- Strong front office and customer service capability, including reception duties, guest handling, and call management.
- Good administrative skills such as scheduling, documentation, and basic office coordination.
- Clear spoken and written communication, with a polite and confident presence in person and over the phone.
- Comfort using office tools and systems such as email, calendars, spreadsheets, visitor logs, and phone systems.
- Excellent organization and time management skills, with the ability to prioritize work in a busy setting.
- Dependable, honest, professional, and focused on delivering a positive customer experience.
- Prior experience in reception, front desk, or another customer-facing position is an added advantage, though not mandatory.
- High school diploma or an equivalent qualification is required; extra training in administration, hospitality, or customer service is beneficial.
