Job Summary

This role is focused on supporting freight forwarding pricing and day-to-day operations through timely quotation handling, RFQ processing, shipment follow-up, record keeping, and coordination across internal and external stakeholders. The coordinator will help ensure pricing requests are handled quickly and accurately while maintaining smooth communication between sales, operations, vendors, carriers, customs brokers, and customers.

Key Responsibilities

  • Carry out routine pricing and operational support tasks in line with business priorities.
  • Handle questions from customers, sales teams, and vendors promptly.
  • Review RFQs and build standard quotations for air, sea, road, and customs clearance movements.
  • Make sure quotations are sent within the agreed response time.
  • Follow shipments from the initial enquiry stage through to final delivery and keep stakeholders informed.
  • Liaise with vendors, agents, carriers, customs brokers, and internal teams to keep operations running smoothly.
  • Monitor service levels and flag any delays or service-related concerns when needed.
  • Keep shipment information and progress updates accurate in freight forwarding and ERP systems.
  • Manage shipping files and operational documents in an orderly and compliant way.
  • Support vendor onboarding/registration and keep supplier details up to date.
  • Cross-check customer invoices against vendor charges to confirm billing accuracy.
  • Help prepare operational reports, KPI trackers, and pricing databases.
  • Gather and maintain data on vendor rates, service quality, and market developments.
  • Contribute to building and maintaining strong working relationships with local and international suppliers and partners.

Qualifications & Experience

The ideal candidate should hold a bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a similar discipline. A total of 3 to 5 years of professional experience is required, including at least 1 to 2 years in the freight forwarding sector in Saudi Arabia. Prior exposure to pricing, customer service, operations coordination, or logistics administration is considered an advantage.

Technical Skills and Core Competencies

Successful candidates should be comfortable working with freight forwarding operations, transportation coordination across air, sea, and land, customs clearance workflows, RFQ and quotation handling, ERP and freight management tools, shipment monitoring, documentation control, invoice checking, data analysis, and reporting. Strong proficiency in Microsoft Excel and Office applications is also important, along with excellent attention to detail, communication, customer orientation, problem solving, teamwork, planning, organization, and execution accuracy.
