Role overview
Eternel Poly Clinic is seeking a Client Care Coordinator to manage a high volume of incoming and outgoing calls, use structured communication flows, and act as the main point of contact between the clinic and its clients. The role also involves checking documents carefully to make sure the required details are complete for records and billing.
Key duties
- Represent the clinic at the front desk in a warm, approachable, and professional manner.
- Handle appointment bookings and reconfirm them to reduce no-shows.
- Record new client details and keep existing information updated in the client system.
- Support client satisfaction by responding to questions and assisting throughout the visit journey.
- Work on campaign leads by logging data, explaining treatments and offers, encouraging interest, and converting enquiries into bookings.
- Respond to client queries and complaints through WhatsApp, email, and other social channels.
- Manage complaints through phone, email, mail, and social media with a service-focused approach.
- Coordinate between clients and internal team members to ensure smooth communication.
- Follow up on client payments and installment reminders.
- Promote additional services through upselling and cross-selling where appropriate.
- Adhere to all clinic policies at all times.
Candidate expectations
- Prior experience in the medical field is required.
- Comfort with handling calls, client communication, and administrative coordination is important.
- Familiarity with managing documents for documentation and billing purposes is expected.
