Overview
A well-established alternative asset management firm in Boston, MA is hiring an Administrative Assistant to support senior leadership with day-to-day coordination and administrative operations. This role involves managing calendars, arranging travel, preparing reports and presentation materials, maintaining vendor relationships, and working closely with teams across different regions.
The assignment is expected to run for 8 to 12+ months and offers pay in the range of $27 to $33 per hour, based on experience.
Responsibilities
- Handle complex scheduling and calendar coordination using Microsoft Outlook.
- Organize domestic and international travel, including detailed itineraries.
- Plan and coordinate meetings and events so they run smoothly and all logistics are in place.
- Prepare high-detail materials such as client reports, presentation decks, and meeting preparation packets.
- Manage internal and external communications while building effective relationships with colleagues, clients, and vendors.
- Support onboarding for new hires, including coordinating logistics and ordering equipment.
- Keep records and information up to date in the relevant systems.
- Complete and submit expense reports.
- Assist with special assignments and ad hoc projects as needed.
Requirements
- 1 to 3+ years of administrative experience in investment management, financial services, or professional services.
- A bachelor’s degree is required.
- Strong verbal and written communication abilities, along with solid interpersonal skills.
- Ability to manage shifting priorities and work under competing deadlines.
- Excellent organization, prioritization, and time-management skills.
- Comfort using Microsoft Office tools, including Word, PowerPoint, Excel, and Outlook.
- Capable of working both independently and as part of a team while maintaining discretion and professionalism.
Additional Information
This is a contract assignment lasting 8 to 12+ months. Compensation is $27 to $33 per hour depending on experience.
