Role Overview
This position is a highly organized, candidate-focused coordination role that supports recruiting at scale. You will be the operational center of the candidate journey, managing interview scheduling, logistics, and day-of support to keep the process efficient and smooth. It is a strong fit for someone who is precise, proactive, comfortable with pace, and committed to delivering an excellent candidate experience.
Scheduling and Interview Coordination
- Manage the full interview scheduling process for phone, video, and on-site interviews for grade 9 and below positions, working closely with recruiters and hiring managers to maintain momentum.
- Keep the scheduling workbook updated as the primary record for interview coordination details.
- Handle several calendars and shifting priorities each day, with a strong sense of urgency and dependable follow-through.
Candidate Experience and Logistics
- Act as a candidate’s first in-person point of contact by welcoming on-site visitors, arranging office tours, and organizing interview-day meals.
- Coordinate candidate travel and ensure reimbursements and expense reports are completed promptly.
- Maintain clear and timely communication with candidates so they have a smooth, positive experience from the first interaction through the final stage.
Growth and Additional Opportunities
- As the role develops and business priorities expand, there may be opportunities to contribute to talent acquisition programs and wider TA initiatives.
Qualifications
- A bachelor’s degree in Human Resources, Business, or a related discipline is preferred, though equivalent experience may be considered.
- A consistently high sense of urgency is essential in this fast-moving, high-volume environment.
- Strong planning, organization, and time-management abilities with excellent attention to detail.
- Professional written and verbal communication skills.
- Familiarity with applicant tracking systems such as Workday or Greenhouse is advantageous.
- Strong interest in talent acquisition and in creating a standout candidate journey.
