This opportunity is shared on behalf of a partner employer that handles all applications and subsequent hiring steps. The partner company is seeking a Proposals Operations Associate in Canada.
The position is central to a fast-moving sales operations function, where you will help manage incoming proposal work quickly, accurately, and within deadlines. You will bring together inputs from sales, legal, finance, and subject matter experts to support strong responses to complex RFx requests. Success in this role depends on excellent organization, the ability to keep several workstreams moving at the same time, and careful attention to detail. You will serve as the operational point of coordination, keeping all involved parties informed, aligned, and unblocked throughout the proposal process. The work environment is dynamic, time-sensitive, and suited to someone who can communicate clearly and adapt well under pressure. This role contributes directly to enterprise sales performance by improving the speed and quality of proposal delivery. Accountabilities
- Own the full proposal operations process, from intake through coordination and delivery, making sure RFx requests are triaged correctly and submitted with accuracy and speed.
- Act as the main contact for incoming RFx work, including RFPs, RFIs, RFQs, and security questionnaires.
- Review each request against qualification standards, due dates, and resource needs, then direct it to the right stakeholders.
- Bring together contributions from sales, legal, finance, and subject matter experts so proposals are completed on schedule.
- Prepare, refine, and assemble proposal materials while keeping content consistent, accurate, and aligned with requirements.
- Handle version tracking, approval routing, and submission steps through final handoff.
- Support RFx contributors and contractors by helping remove obstacles and maintaining quality expectations.
- Keep content libraries and proposal repositories current in line with internal documentation practices.
- Monitor several active opportunities at once and escalate risks or delays before they affect delivery.
Requirements
- Background in coordinating complex projects or workflows across multiple stakeholders.
- Strong business writing skills with the ability to create polished, precise, and professional content under deadline pressure.
- Sharp attention to detail and the ability to juggle several priorities at once.
- Well-developed organizational and time-management abilities with a structured approach to execution.
- Comfort working independently within established processes while flagging issues early when needed.
- Exposure to proposal operations, sales operations, procurement, or RFx work is an advantage.
- Experience using content management systems, trackers, or workflow platforms is helpful.
- Comfort working in a fast-paced, high-growth SaaS or technology setting.
