Company Overview
SARPi Group was established in 2016 in Dubai and partners with international consumer and retail brands, handling distribution across the UAE and GCC. The company serves more than 400 retail outlets and 16 e-commerce platforms spanning six countries in the Middle East. It is currently hiring an organized, proactive HR & Operations Coordinator to support day-to-day business activities.
Location: Dubai, UAE
Human Resources and Administration
- Keep daily attendance under review and update staff attendance records accurately.
- Compile and maintain timesheets for warehouse employees.
- Manage petty cash and produce periodic expense summaries.
- Handle employee reimbursement claims and preserve supporting documentation.
- Organize, track, and archive delivery notes, tax invoices, and other company records.
- Monitor vendor agreements and follow up on renewals before expiry.
- Assist with onboarding and exit procedures, including paperwork and clearance steps.
- Support office administration tasks such as permits, repairs, maintenance, and supplies for the office and pantry.
- Keep employee files and HR documents up to date and well organized.
- Coordinate visa-related actions, including new applications, renewals, amendments, and cancellations.
- Work with government departments, typing centers, and external service providers as needed.
- Track expiry dates for visas, labor cards, and company documents.
- Make sure immigration and labor requirements are completed on time.
Procurement and Logistics Support
- Arrange domestic and overseas shipments through courier services and freight forwarders such as DHL and FedEx.
- Collect supplier quotations and prepare comparison sheets for cost evaluation.
- Coordinate with freight partners to obtain competitive shipping arrangements.
- Monitor shipment progress and ensure deliveries reach on schedule.
- Assist with procurement tasks and maintain communication with vendors.
General Operations
- Provide administrative assistance to management and different teams.
- Maintain orderly filing and record-keeping systems.
- Support operational projects and complete assigned ad-hoc tasks.
- Contribute to ongoing improvements in internal workflows and procedures.
Requirements
- At least 2 to 5 years of experience in HR, administration, operations, or a closely related role within the UAE.
- Familiarity with UAE visa and labor procedures is strongly preferred.
- Good planning, organization, and multitasking ability.
- Strong English communication skills.
- Working knowledge of Microsoft Office tools, especially Excel.
- Ability to work on your own and prioritize multiple tasks effectively.
- Background in courier, logistics, or procurement coordination will be considered an added advantage.
