Role overview
This position supports the senior leadership team within Legal Talent and Legal Recruitment by handling a wide range of administrative and coordination tasks. The work calls for a service-oriented approach, strong judgment, and a high level of accuracy. The schedule is a non-exempt role with standard hours from 9:30 a.m. to 5:30 p.m., Monday through Friday, and the setup is hybrid: four days in the office with Fridays rotating.
Key responsibilities
- Provide daily administrative support to senior managers, using initiative and dependable judgment while liaising with both internal teams and external clients.
- Arrange and manage meetings across the organization, including handling special requirements such as catering, multimedia setup, and document preparation.
- Field phone calls, mail when requested, and visitors, while keeping digital notes, tracking inquiries, and recording communication status.
- Draft, edit, and format a variety of materials such as documents, spreadsheets, presentations, letters, memos, and other correspondence.
- Maintain organized filing systems and records.
- Work with the Finance Department on invoices and expense report processing.
- Coordinate all travel arrangements for senior management, including flights, transportation, lodging, and related logistics.
- Take on additional assignments and special projects as needed.
Requirements
- A bachelor’s degree is preferred.
- Between five and ten years of experience in administrative, personal, or executive support, ideally assisting a senior-level or C-suite professional in legal or professional services environments.
- Demonstrated experience managing calendars and coordinating in-person and hybrid meetings with multiple stakeholders.
- Working knowledge of Microsoft Office tools, including Word, Excel, and PowerPoint, along with Adobe Professional.
- Experience using billing or invoicing systems and document management platforms.
- Ability to prioritize effectively, manage several concurrent tasks, and stay professional and courteous under pressure.
- A proactive, energetic, and dependable team-oriented attitude.
- Willingness to work occasional overtime and weekends when required.
Compensation
Pay is in the range of $90,000 to $110,000 annually, with additional overtime eligibility and bonus potential.
