Role Summary
The Contract Administrator will own the full contract lifecycle for projects in the General Industry area. The position focuses on making sure contractual duties are met, reducing commercial and legal risk, and partnering closely with Sales, Legal, and Project Management teams. A key part of the role is ensuring that contract terms are clearly captured, understood, and delivered by all parties involved.
Key Responsibilities
- Prepare, review, and manage commercial agreements, framework contracts, non-disclosure agreements, purchase orders, and associated legal paperwork.
- Handle contracts from tender stage through to final project closure.
- Make sure contractual, regulatory, technical, and HSE obligations are met, particularly those common in the oil and gas environment.
- Spot commercial, legal, and operational risks, share them clearly, and support negotiations with customers, partners, and suppliers.
- Identify important contract terms such as liquidated damages, performance guarantees, indemnities, warranties, liability limits, and change orders.
- Assess contractual changes, including change orders, and support the Project Manager in discussions with the customer.
- Assist with claim handling and dispute resolution together with the Project Manager.
- Keep contract files current and ensure amendments are properly tracked.
- Work with Project Managers to ensure project delivery aligns with agreed timelines, budgets, and scope.
- Take part in internal and external meetings, including project kick-offs and client review sessions.
- Prepare status updates on contract obligations and project progress throughout execution.
- Compile and report business unit information to management, including revenue recognition, profitability, and billing data.
- Maintain records of project communications, contract changes, project activity, and other business records in line with company procedures.
- Support shipping-related activities together with Project Coordinators.
- Coordinate with Legal, Finance, Procurement, HSE, and QA/QC teams.
- Manage contractual communication with clients, EPCs, OEMs, partners, and subcontractors.
- Help resolve contractual disagreements with the Project Management team and Legal Department.
- Raise customer issues, communicate proposed resolutions, and escalate unresolved matters to the immediate manager.
- Carry out assigned work diligently, provide timely guidance to management, and flag any delivery risks at the earliest opportunity.
- Work cooperatively across teams, uphold company values, follow all policies and legal requirements, suggest practical improvements, and use business tools and processes effectively.
Required Qualifications
- A bachelor’s degree in Economics, Business Administration, Engineering, or a closely related discipline, or an equivalent combination of education and work experience.
- Prior exposure to Oil & Gas, Energy, EPC, or Industrial Manufacturing is preferred.
- Proven ability to build and maintain productive relationships with clients, suppliers, and internal/external stakeholders.
- Evidence of continuous improvement in previous areas of responsibility.
- Strong command of MS Word, Excel, Outlook, and PowerPoint.
- Willingness to travel within the country and internationally, sometimes on short notice.
Preferred Experience and Skills
- Experience working in or leading matrix teams.
- Working knowledge of MS Project.
- About 2 years of experience in project management, contract administration, contract specialist, project administration, or a comparable role.
- Familiarity with Oracle, Oracle Business Intelligence tools such as Discoverer Admin, and CRM systems.
- PMP certification is an advantage.
