Role overview
An opportunity is available for an administrator and waiting list co-ordinator to join the Dermatology service, providing reliable, high-quality clerical and administrative support. The role helps maintain an effective cancer and surgery waiting list service while ensuring patients are always treated with courtesy, dignity, and respect.
What the role involves
You will support clinicians, doctors, nurses, and the wider admin team with a broad range of day-to-day administrative tasks. The post is based in the Winnicott Centre, and the work will mainly be carried out there.
To build professional breadth and maintain continuity of service, the post holder is also expected to cover other administrative duties across the admin team when needed.
Waiting list and booking responsibilities
You will make sure urgent suspected cancer referrals are booked promptly into the correct clinics, including photo hub appointments and face-to-face slots.
Urgent suspected cancer proformas and minor operation forms must be checked, printed, and prioritised according to lesion urgency and risk before being sent to the appropriate clinic.
Accuracy and timeliness in recording information are essential throughout the role.
Daily management of EPIC lists is required, along with escalation of any capacity concerns so staff are aware of current waiting times.
You will also monitor waiting list and patient tracking list information, take action on problem areas, and help ensure that Referral to Treatment and Faster Diagnosis Standard targets are not breached.
Clinic capacity must be actively managed so that sessions remain fully booked and procedure timings are kept correct.
Another part of the role is helping staff understand booking processes that affect waiting list management and updating them whenever procedures change.
New and follow-up patients waiting for a minor operation appointment must be partially booked in line with the relevant clinical booking rules, and patients should receive adequate notice of their appointments.
Team environment
The Dermatology department includes consultants, specialist doctors and nurses, secretaries, reception and secretarial assistants, a practice manager, and a team leader, all based in the Winnicott Centre on the Annexe site.
