Role Overview
The Travel Coordinator will handle end-to-end travel planning for company employees and senior leaders. The position involves arranging transportation, lodging, and related services, keeping all bookings aligned with company rules, and monitoring travel spend carefully. The role works in close partnership with the Assistant Manager - Travel Desk to improve travel operations and deliver practical, economical business travel support.
Key Responsibilities
- Plan and arrange travel for employees and executives, including airfare, hotels, car hire, and local transportation.
- Make sure every booking follows the company travel policy and stays within the approved budget.
- Prepare itineraries, confirm reservations, and share all required travel details and documents such as booking confirmations and hotel information.
- Look for cost-saving options by comparing travel choices and negotiating discounts, deals, and offers.
- Coordinate with travel agencies, airlines, hotels, and other vendors to secure services and maintain effective working relationships.
- Ensure vendors meet company standards, policies, and travel requirements.
- Keep records of preferred suppliers and track service level agreement performance.
- Support tracking of travel expenses and ensure spending remains within budget.
- Compile travel cost summaries and reconcile travel spend with the finance team.
- Help prepare monthly reports and maintain organized records of receipts, invoices, and other travel-related documents.
- Act as the main contact for employee travel queries and provide support during trip planning and execution.
- Assist with visa paperwork, travel insurance, and other travel documents.
- Resolve travel issues such as booking mistakes or flight schedule changes with minimal disruption.
- Follow company travel rules closely and keep records suitable for audit and compliance checks.
- Track policy updates and communicate relevant changes to employees when needed.
- Maintain accurate logs of bookings, payments, itineraries, and related documentation.
- Store travel records and receipts in an organized way for easy access and future audits.
- Support corporate travel events such as conferences, meetings, and retreats.
- Review travel spending patterns and recommend ways to reduce cost and improve efficiency.
- Work with internal teams on booking updates, approvals, and travel-related communication.
- Assist the Assistant Manager in preparing reports, studying trends, and improving travel practices.
Requirements
- 2 to 3 years of experience in travel coordination or a similar administrative role.
- Experience in a corporate or retail environment is preferred.
