Role overview
This position is part of the Maritime and Port Authority of Singapore (MPA) and supports a division through a mix of executive, administrative, coordination, and records-management work. The role involves working closely with director(s), internal teams, and external stakeholders to keep day-to-day operations running smoothly.
What you will do
- Provide secretarial and coordination support to director(s), including arranging internal and external meetings.
- Handle full logistical arrangements for events and workshops involving industry stakeholders.
- Collect, align, and consolidate inputs from different MPA divisions on decarbonisation-related matters such as surveys.
- Organise travel arrangements and accommodation for overseas trips for MDD officers, and help process related claims.
- Support gift declaration administration for the division.
- Manage procurement tasks for office supplies and general office needs.
- Carry out procurement of goods and services from purchase order issuance through receipt, invoice verification, and invoice processing.
- Support division budget coordination, monitor utilisation, and liaise with Finance as needed.
- Assist with office-related coordination work such as space planning with SPM, Fire Warden appointment, and Asset Coordinator duties.
- Plan and coordinate training requirements and schedules for officers.
- Support records and file management for all officers using e-Cabinet and e-Registry.
- Assist with onboarding arrangements for new officers and interns.
- Take on other ad-hoc duties when assigned.
Requirements
- At least 3 years of relevant experience in records, information, and/or document management, together with corporate administration experience.
- Strong teamwork, interpersonal, and analytical abilities.
- Careful, detail-oriented work style.
- Ability to perform well under pressure.
