Role Overview
The Project Coordinator will support a program management team that oversees portfolios made up of multiple projects for multi-site clients. This position focuses on documentation, administrative coordination, and oversight of liquidation and signage vendors involved in decommissioning retail locations. The coordinator will review reports, help manage communication among vendors and stakeholders, and support project compliance and progress tracking.
This is a fully remote position. Travel may be required on an as-needed basis, typically between 0% and 15%.
Key Responsibilities
- Establish projects in client and/or company project management platforms and ensure all required documentation is entered.
- Keep project status information and milestone dates current in the project tracking systems.
- Prepare, send, and monitor Contracts, Purchase Orders, and Change Orders for subcontractors and suppliers, either independently or with support.
- Maintain complete project records throughout the life of each assignment.
- Review and oversee contractor and vendor payments during construction.
- Collect, coordinate, and submit owner-required closeout documents and support final payments to contractors and suppliers.
- Create and share reports for both internal teams and external stakeholders.
- Handle sensitive and proprietary information with confidentiality.
Requirements
- A high school diploma or equivalent is required.
- At least 2 to 4 years of relevant work experience and/or training, or an equivalent mix of education and experience.
- Prior experience in retail, restaurant, or multi-site construction projects is preferred.
- Ability to read, examine, and understand complex documents.
- Strong interpersonal and relationship-building skills.
- Practical knowledge of data analysis in Microsoft Excel and email management in Microsoft Outlook.
- Experience using Smartsheet is highly preferred.
- Comfort responding to sensitive questions or requests.
- Strong verbal and written communication skills for interaction with management, clients, contractors, vendors, and other project stakeholders.
- Ability to solve problems, influence others positively, and maintain productive customer relationships.
- Capacity to work through practical issues with limited standardization and interpret written, spoken, diagrammatic, or schedule-based instructions.
- Willingness to learn new tools and processes while adapting to changing project demands and deadlines.

Compensation and Benefits
The expected annual pay range for this role is $58,000 to $70,000, based on a full-time schedule, market and business conditions, and the candidate’s education, qualifications, and experience. Benefits include medical, dental, vision, life, and disability insurance, flexible paid time off, paid holidays, sick time, and a matching 401(k) plan.
Work Conditions
This is a 100% remote role with minimal to no travel. The position requires the ability to work effectively from a home office, collaborate closely with others, and manage multiple projects and deadlines at the same time.
