Role overview
Ali & Sons Holding LLC is looking for a polished and highly organized Personal Assistant to support the Capital Management team in Abu Dhabi. This role focuses on smooth day-to-day administration, coordination of meetings and communications, and careful handling of documents tied to investment activity, fund commitments, and portfolio oversight.
The position suits someone who works well in a fast-moving investment environment, maintains a high standard of professionalism, and can manage sensitive information with complete discretion.
Key responsibilities
- Deliver executive-level administrative and secretarial assistance to the Capital Management and Investment team.
- Handle calendars, meeting bookings, conference calls, and travel planning for team members.
- Arrange discussions with investment managers, advisors, banks, and internal teams.
- Keep investment paperwork well organized, including NDAs, fund agreements, capital call notices, and investor reports.
- Support the upkeep of internal records and databases linked to the investment portfolio.
- Coordinate circulation and internal sign-offs for investment-related documents across departments.
- Manage filing and document control processes for all investment files.
- Organize logistics for conferences, external meetings, and team events.
- Work with Finance and Legal teams to complete documentation and other operational needs connected to investments.
- Protect confidential financial and corporate information and ensure it is handled correctly.
Experience and skills
Applicants should bring 3 to 5 years of experience in roles such as Executive Assistant, Team Assistant, Personal Assistant, or Administrative Coordinator. A finance or investment background is considered an advantage.
Strong command of English, both spoken and written, is required. Arabic is an added advantage but not compulsory. The role also calls for advanced capability in Microsoft Office tools, comfort using document management systems, and familiarity with calendar coordination and virtual meeting platforms such as Microsoft Teams, Zoom, and Outlook.
Success in this role depends on excellent organization, the ability to juggle multiple tasks, strong time management, clear communication, good interpersonal skills, and a high level of professionalism and attention to detail.
