Role overview
The Sage Group’s client, a prominent AI organization, is looking for a highly organized and self-driven Administrative Business Partner to work closely with senior leaders. This contract role is centered on precise administration, strong coordination, and dependable execution in a fast-moving environment. The position is remote, with a preference for candidates in Pacific Time.
This is a month-to-month engagement with the possibility of converting to a contract-to-hire arrangement. The compensation is $125.00 per hour. Multiple Administrative Business Partner openings are available, and support structures may vary depending on the business area, with ratios reaching up to 1:3. The hiring process includes a leader-matching step near the end.
What you will do
- Own calendar coordination for leaders and their teams, while keeping track of action items through to completion.
- Create and maintain organized systems for handling and prioritizing incoming requests.
- Manage inboxes, Slack messages, and other communication channels with a strong focus on accuracy, including outside normal business hours when vendor or infrastructure issues arise.
- Provide polished, welcoming support to in-person visitors and help ensure external partners have a positive experience.
- Arrange travel and coordinate logistics for conferences and events in partnership with communications and compute teams.
- Work with internal teams to collect information and materials needed for meetings, and assist with ad hoc projects by using proactive problem-solving; this may include visiting a site to gather information directly.
What makes someone successful in this role
- Strong organizational skills and the ability to build systems that keep multiple priorities visible and manageable.
- Background in data center construction, infrastructure, research operations, or closely related technical environments is valuable.
- Hands-on experience with Google Workspace and Slack for everyday collaboration.
- A former Technical Program Manager, especially with hardware or infrastructure exposure, may be a strong match.
- Comfort operating in fast-changing settings while maintaining excellent attention to detail and consistent administrative quality.
- Experience supporting executives or other high-demand external-facing leaders.
- Motivation to help leaders execute effectively by ensuring they have the right resources and information.
- Strong time management and the ability to communicate clearly with stakeholders at all levels.
- A calm, positive, and welcoming approach when working with both internal and external contacts.
- Demonstrated ability to handle confidential and sensitive information with discretion.
Additional qualifications that would stand out
- Genuine interest in AI safety, including research and product development.
- Prior experience supporting executives or busy senior leaders.
- A security-oriented mindset and familiarity with data protection and privacy best practices.
- Experience in the data center or custom silicon space.
