Role Overview
This position is part of an outsourced project and is suited to someone who is organised, careful with details, and comfortable handling a mix of administrative, data, and coordination work. The role supports everyday operations through programme administration, data validation and entry, inventory tracking, and general office support.
Programme and System Account Administration
- Create, update, review, and deactivate programme and system access for both internal and external users.
- Check account requests and their supporting documents to ensure they are complete and correct.
- Keep account master lists, audit logs, tracking sheets, and related records up to date.
- Liaise with stakeholders on verification, approvals, and follow-up actions tied to access management.
- Assist with routine account reviews and access confirmation exercises.
Data Processing, Verification, and Reporting
- Pull together, clean, verify, and organise data from systems, dashboards, vendor submissions, and operational reports.
- Prepare and maintain standard operating, utilisation, KPI, and management reports.
- Cross-check attendance records, billing files, claims, reimbursement submissions, and audit documents against source information.
- Carry out reconciliation checks and look into mismatches with vendors and internal stakeholders.
- Support billing checks, invoice handling, and reporting tasks.
- Perform data quality reviews and ensure reporting templates and tracking files remain accurate.
- Monitor shared mailboxes, keep track of escalations, and draft standard replies when needed.
Programme Operations and Scheduling Coordination
- Coordinate scheduling, deployment arrangements, and operational bookings for programmes.
- Review calendars, set-ups, and activity logs for accuracy.
- Assist with event creation and updates within the system for programme operations.
- Coordinate audit schedules and operational follow-ups with vendors and stakeholders.
- Track programme usage, attendance submissions, and operational deliverables.
User Acceptance Testing and System Support
- Assist with user acceptance testing for system improvements, fixes, and application updates.
- Run test cases and record results accurately.
- Carry out retesting after fixes or enhancements are released.
- Track system issues and escalate failed test cases where appropriate.
- Support operational testing and validation for digital platforms and applications.
Administrative and Secretariat Support
- Arrange meetings, appointments, and operational calendars.
- Compile agenda items, presentation materials, and meeting packs.
- Support formatting, proofreading, and preparation of reports and presentation slides.
- Maintain orderly filing, documentation, and records management.
- Provide general administrative and operational support as assigned.
Inventory and Asset Coordination
- When required, assist with stock tracking, stock-taking, replenishment, and asset monitoring.
- Coordinate deliveries and inventory updates with vendors and stakeholders.
- Maintain inventory records and support logistics coordination for operations.
Working Arrangements
The role follows a Monday to Friday schedule, from 8:30am to 6:00pm. It is based in Singapore and follows a hybrid work arrangement.
Eligibility and Requirements
Candidates should hold a diploma or higher qualification and ideally have 1 to 2 years of relevant experience in business administration, data entry, or a related field. Fresh graduates are also welcome. The ideal person should be proficient in Microsoft Office tools such as Excel, PowerPoint, Word, and Outlook, able to handle multiple tasks in a fast-paced setting, and comfortable working with numbers and documents from different sources. Strong attention to detail, good organisation, and the ability to work both independently and collaboratively are important.
