Role Overview
National Trades Union Congress (NTUC) is seeking a proactive and well-organised Administrative Assistant to join its Organisation Development (OD) team in Singapore. The role focuses on supporting employee engagement programmes, staff events, and the team’s everyday administrative work. It suits someone who enjoys event coordination, handling administrative processes, and collaborating with a range of stakeholders in a dynamic environment.
Event Coordination and Logistics
- Assist in planning and running internal staff events, workshops, and engagement activities.
- Manage event arrangements such as venue setup, registration, attendance tracking, and preparation of event materials.
- Provide on-site assistance to help events run smoothly and ensure a positive participant experience.
Vendor and Procurement Support
- Work with vendors on event arrangements, quotations, deliveries, and related requirements.
- Support procurement activities by submitting purchase requests and monitoring approval progress.
- Track vendor commitments and follow up to make sure deadlines are met.
Administrative Support
- Provide day-to-day administrative and operational support to the OD team.
- Keep records, event files, invoices, and attendance information organised and up to date.
- Help with meeting arrangements, scheduling, and preparation of meeting notes.
Data and Reporting Support
- Compile event participation details, feedback, and survey outcomes.
- Assist with basic tracking and reporting of attendance, engagement indicators, and event spending.
Requirements
- Previous experience in administration, operations, or event coordination is preferred.
- Strong planning skills and attention to detail are important.
- Ability to handle several tasks at once and work well with different stakeholders.
- Good written and verbal communication, along with strong interpersonal skills.
- Comfortable using Microsoft Office tools, especially Excel, Word, PowerPoint, and Outlook.
- Able to use Canva to produce event publicity materials, presentation slides, and simple communication assets.
- Must be able to complete the temporary assignment lasting 6 months, from July 2026 to Dec 2026.
Additional Information
This position is intended for a temporary assignment and is based onsite in Singapore. The role involves supporting both internal engagement initiatives and the operational needs of the OD team in a fast-paced workplace.
