Role Summary
This position focuses on accurate and timely administration, data handling, and operational assistance across portfolio management, business development, procurement, and SAP-related workflows. The coordinator will help keep critical business data current, support system accuracy, track projects and launches, and contribute to smooth cross-functional operations while working in line with STADA’s principles of Entrepreneurship, Agility, Integrity, and ONE STADA collaboration.
Key Responsibilities
- Update and maintain portfolio and business development data across platforms such as 1P!, Smartsheet, LDS, NLs, SharePoint, SAP, and other internal systems.
- Record, monitor, and report project details, milestones, launch plans, and portfolio status in a timely and precise manner.
- Manage trackers, dashboards, and reporting tools used for launches and portfolio oversight.
- Support licensing opportunities, business development initiatives, contracts, and partner databases through administrative coordination.
- Handle documentation, data collection, and administrative tasks tied to evaluations, due diligence, launches, and commercialization work.
- Protect data quality, consistency, and compliance across portfolio and business development processes.
- Assist with SAP material setup, extensions, and maintenance in coordination with relevant stakeholders.
- Serve as SAP Purchase Order administrator for STADA KSA+ entities.
- Coordinate vendor onboarding and master data activities while meeting internal requirements and compliance standards.
- Support Purchase-to-Pay processes through system coordination and operational follow-up.
- Maintain correct records and follow internal governance and control requirements.
- Help ensure procurement policy compliance, including tendering and RFQ handling for suppliers not already on approved vendor lists.
- Work with Medical, Finance, and Procurement teams to confirm supplier compliance with contracts, payment terms, and payment procedures.
- Track data quality and process compliance across all assigned workflows and systems.
- Identify and contribute to improvements in processes, automation, and standardization to raise efficiency.
- Prepare recurring reports, dashboards, and performance trackers related to launches, procurement, portfolio activity, and business development projects.
- Monitor project timelines and key milestones, and escalate delays or risks when needed.
- Provide management with accurate data and meaningful insights to support decision-making.
- Partner with Commercial, Supply Chain, Finance, Regulatory, Medical, Quality, and Procurement teams to ensure coordinated execution of business activities.
- Offer administrative and operational support for strategic initiatives and cross-functional projects.
- Contribute to continuous improvement efforts that strengthen collaboration and operational performance across STADA KSA+.
Requirements
- Bachelor’s degree in Business Administration, Information Systems, Supply Chain, Finance, Pharmacy, or a related discipline.
- 1–3 years of experience in data administration, project coordination, portfolio management support, procurement operations, or SAP administration.
- Hands-on experience with ERP systems, preferably SAP.
- Strong command of Microsoft Excel, PowerPoint, SharePoint, and data management tools.
- Exposure to project tracking tools such as Smartsheet is considered an advantage.
- Excellent attention to detail and a strong focus on data accuracy.
- Analytical thinking with solid problem-solving ability.
- Good planning and organization skills.
- Ability to manage several priorities and deadlines at the same time.
