Overview

The Test Facilities Operation, Maintenance and Engineering (TFOME) group at NASA Glenn Research Center delivers engineering and technical support for aeropropulsion, space propulsion, and power test facilities. The team is focused on high-quality service and offers strong technical growth opportunities. This role is for a Project Administrator working 30 hours per week.

Role summary

This position supports the TFOME contract and the Facilities, Test and Center Operations Directorate (Code F) at NASA GRC Lewis Field and the Armstrong Test Facility (Code H). The selected candidate will oversee Maximo-related activities, prepare maintenance and project reports, and provide additional support to the TFOME contract as assigned. The role also serves as a Maximo administrator for ATF and Lewis Field when required and assists the TFOME Program Management Office.

Key responsibilities

  • Develop training materials for system users.
  • Help onboard new employees on Maximo when leads are unavailable.
  • Regularly audit data entered by Test Facilities to confirm it is consistent across Lewis Field and ATF and that all required fields are completed for tracking and reporting.
  • Support the creation of asset and preventive maintenance entries based on input from System Engineers and RCM Engineers, and help Test Facilities when needed.
  • Produce preventive maintenance work orders for ATF as required.
  • Lead the bi-weekly PM maintenance review with ATF technical leads.
  • Check that work orders move correctly between Maximo and iSite for timekeeping and labor-hour tracking.
  • Submit requests for different access levels in Maximo through NAMS/IdMAX.
  • Request Maximo changes when contract requirements evolve.
  • Prepare and distribute recurring monthly maintenance reports.
  • Build queries and custom reports as requested by TFOME or NASA, with a focus on maintenance and ATF Institutional Group responses to FD.
  • Revise work orders and PM work orders to reflect current fiscal-year funding and train a replacement on these duties for future years.
  • Make sure new work packages are created in Maximo.
  • Confirm that timesheet line items use the correct fiscal-year funding for holidays and excused leave, especially for new ATF employees.
  • Serve as a communication link between managers, employees, and NASA customers to share updates and keep operations running smoothly.
  • Provide additional support to the TFOME Program Management Office as needed.

Qualifications

  • An associate degree in Business Administration or a related discipline is required, along with at least 3 years of experience in project administration; an equivalent mix of education and experience that provides comparable skills and knowledge may also be accepted.
  • Strong professional relationships with management, staff, subcontractors, and clients are essential.
  • Excellent written and spoken communication skills are required.
  • Working knowledge of Microsoft Word, Excel, PowerPoint, and Access is required, along with familiarity with Adobe Pro and Microsoft Publisher or a comparable application.
