Role Overview

Enigmasoft Technologies is hiring a resourceful, detail-oriented Procurement & Supply Chain Executive to support research and development work in renewable-energy systems. This full-time permanent role is based in Verna, Goa, India and reports to the Engineering Manager.

The position focuses on sourcing engineering materials, components, tools, fabrication services and consumables for projects related to solar photovoltaic systems, Organic Rankine Cycle (ORC) systems, carbon-capture technologies and other sustainable-energy products. The role also involves vendor evaluation, quotation analysis, commercial negotiation, purchase order preparation after approval, inventory monitoring, delivery tracking and upkeep of procurement records.

Key Responsibilities

  • Partner with the engineering team to understand requirements for components, materials, equipment, fabrication work and consumables.
  • Check bills of materials, technical documents, datasheets, drawings and approved purchase requests before starting procurement activity.
  • Identify suitable vendors locally, across India and internationally for mechanical, electrical, electronic and laboratory needs.
  • Source standard parts, custom-made components, prototype materials, tools, sensors, valves, actuators, instrumentation, safety equipment and testing tools.
  • Study new materials and components to build practical understanding of their specifications, availability and substitutes.
  • Raise RFQs and gather multiple quotations whenever possible.
  • Prepare comparison summaries covering pricing, taxes, freight, payment terms, warranty, quality, technical fit and delivery timelines.
  • Review market rates and negotiate pricing, delivery schedules, payment terms and other commercial conditions with suppliers.
  • Assess vendors on quality, cost, dependability, responsiveness and delivery history.
  • Develop alternate suppliers for critical items to reduce dependency and lead-time risk.
  • Maintain strong supplier relationships while ensuring commercial and quality expectations are met.
  • Share procurement recommendations and quote comparisons with the authorised approver.
  • Issue purchase orders and work orders only after receiving the required approval.
  • Ensure orders match approved specifications, quantities, pricing, taxes, delivery terms, payment terms and warranty clauses.
  • Track purchase requests, approvals, open orders and pending commercial tasks until they are closed.
  • Monitor stock of consumables, tools, safety items and regularly used materials.
  • Set and maintain minimum, reorder and safety-stock levels for frequently used items.
  • Trigger replenishment before stocks run out while avoiding excess inventory.
  • Carry out periodic stock verification and reconcile physical counts with records.
  • Work with engineering and stores teams for material issue, return and stock checks.
  • Follow up with vendors on order confirmation, production progress, dispatch details and expected delivery dates.
  • Track all active purchase and work orders and share timely updates with the Engineering Manager and project teams.
  • Coordinate with transporters, couriers and logistics partners to ensure safe and timely deliveries.
  • Handle delayed, damaged, incorrect or short shipments and coordinate returns, replacements or warranty claims.
  • Support receipt verification by checking quantities and coordinating technical inspection and acceptance with engineering staff.
  • Keep organised files for purchase requests, quotes, comparison statements, approvals, orders, invoices, delivery challans, goods-receipt documents and inventory transactions.
  • Maintain a vendor master with contact information, product categories, quotation history, pricing, lead times, payment terms and performance notes.
  • Coordinate with accounts for advance payments, invoice checks, vendor payments and reconciliations.
  • Support procurement cost tracking, budgeting and periodic reporting.
  • Protect confidentiality of engineering designs, prototypes, supplier details and project information.
