Role Overview
The HR & Admin Executive will support a broad range of human resources and office administration tasks, with responsibilities spanning recruitment coordination, employee documentation, leave and claims administration, training support, front desk coverage, and workplace activities. This is an on-site position in Singapore with standard weekday working hours.
Recruitment and Onboarding
- Support the full hiring workflow, including posting openings, screening resumes, shortlisting suitable candidates, and arranging interviews.
- Coordinate interview schedules between applicants and hiring managers, then track and follow up on interview outcomes.
- Prepare employment letters, confirmation letters, and other HR documents as required.
- Handle new employee orientation, onboarding activities, and exit/offboarding processes.
HR Operations and Employee Administration
- Keep employee records and personal information up to date.
- Maintain leave records for an assigned employee group accurately and on time.
- Process employee claims in line with company policies and required checks.
- Arrange staff travel, including flight and hotel bookings, and manage the related claim submissions.
- Organize and distribute employee name cards for management and staff across all regions except the Philippines and Saudi Arabia.
- Provide general support for daily HR and administrative tasks.
Training and Learning & Development
- Oversee the end-to-end coordination of staff training programmes, including internal coordination, vendor communication, enrolment, confirmation, post-training feedback, recordkeeping, and certification tracking.
- Identify and liaise with training vendors to register employees for suitable courses.
- Support the planning and scheduling of learning and development sessions, including trainer coordination and participant management.
- Collect employee feedback and use it to assess training effectiveness.
Office Administration, Front Desk, and General Support
- Answer incoming calls, relay messages, and redirect callers when necessary.
- Provide reception support whenever needed.
- Monitor pantry stock and help purchase pantry supplies.
- Help plan and run internal engagement activities, such as monthly birthday celebrations, monthly fruit day, and festive events like Chinese New Year and Christmas.
- Carry out other HR and administrative tasks as assigned.
Working Hours and Additional Information
Working hours are from 9:00 AM to 5:00 PM, Monday to Friday. AWS and performance bonus are provided, subject to company and individual performance. Only shortlisted applicants will be contacted.
Requirements
- A minimum qualification of O Level, A Level, ITE, Diploma, or an equivalent certificate.
- At least 1 year of relevant work experience, though entry-level applicants are also encouraged to apply.
- Comfortable using Microsoft Office tools.
- Strong communication and interpersonal abilities.
- Positive team-oriented mindset, with initiative and resilience.
- Able to work independently with limited supervision.
