Role overview
The Fleet Coordinator will be responsible for managing daily transport movements, ensuring deliveries follow the planned schedule and route assignments, and helping the operation achieve strong fleet performance. The role focuses on accurate system records, efficient truck utilization, driver coordination, and timely reporting to support smooth logistics operations.
Key duties
- Monitor delivery schedules and route plans by assigning trips in the system so fleet KPIs are met and routes are used efficiently.
- Make sure every delivery, including backload movements, is entered correctly in the system to maintain reliable data.
- Improve the use of trucks in transit by arranging backloads from suppliers and reducing idle waiting time.
- Apply the incentive policy for all deliveries, using cost per kilometer and regional rules to secure the best cost results for drivers.
- Issue diesel vouchers in line with standard operating procedures and company policy.
- Log trip distances in the system and ensure they are reflected correctly in the incentive amount.
- Confirm that drivers are available as scheduled so orders can be delivered on time.
- Collect floor-count information for orders ready to load by reviewing reports from the outbound team to maximize truck and fleet utilization.
- Open and close all trips in the system to maintain accurate records.
- Prepare and share reports with the line manager according to the agreed schedule to provide clear operational visibility.
- Escalate fleet-related issues to the line manager promptly and follow through to reduce risk to the business.
- Coordinate with drivers and stores to ensure shipments are offloaded on time.
- Record proof of delivery in the system when closing each trip.
- Rotate drivers across regions fairly to maintain balanced allocation.
- Follow company safety instructions, protect company property, and work in a safe and compliant manner.
- Carry out additional duties assigned by management when needed.
Experience and skills
This position calls for at least 2 years of experience in a relevant field, strong written and reading English, sound computer ability with MS Office, and a solid understanding of transport management systems and warehouse management systems being an advantage. The role also requires good communication, time management, and follow-up skills.
Requirements
- Minimum 2 years of experience in a related field.
- Ability to read and write English well.
- Proficiency with computers, especially MS Office.
- Knowledge of TMS and WMS is considered an advantage.
- Strong communication skills.
- Good time management skills.
- Strong follow-up and coordination ability.

The job is based in Rābigh, Makkah, Saudi Arabia and is a full-time, onsite role.
