Role Overview
A growing construction business in North Kerry is looking for an Office Manager to keep its daily office activity running efficiently. The company has around 35 employees across permanent and contract positions, and this role is central to supporting several teams and contributing to the overall performance of the organisation.
Key Responsibilities
- Take charge of everyday office administration and keep internal processes running smoothly.
- Handle incoming and outgoing communication, including calls, emails, correspondence, and front-desk visitor support.
- Keep staff files, company paperwork, and record-keeping systems organised and current.
- Help managers with diary management, meeting arrangements, and general office coordination.
- Provide administrative support for HR tasks such as onboarding and employee communications.
- Manage payables and receivables activities.
- Support payroll preparation and work with outside payroll partners when needed.
- Prepare and process invoices, supplier statements, and purchase orders.
- Track company spending and reconcile expenses against financial records.
- Assist management and external accountants with reporting and compliance-related financial tasks.
- Maintain project files, contracts, and compliance records for construction work.
- Make sure documents are accurate, up to date, and easy to retrieve when required.
- Coordinate documentation connected to insurance, certifications, licences, and regulatory obligations.
- Support project teams with document control and reporting needs.
Experience and Skills Needed
This position requires at least 3 years of experience in an Office Manager role or a closely related position. Experience in construction, engineering, manufacturing, or another project-driven setting is strongly preferred. The ideal candidate will also have a solid understanding of financial administration and basic bookkeeping, along with the ability to work on their own while contributing effectively to a team.
