Role Summary
Blueleaf Energy is hiring an experienced Executive Assistant and Office Manager to support the Chief People Officer. The position combines executive administration with office and event management, ensuring the head office runs smoothly day to day and the wider organization’s operational needs are well supported.
Office Management & Administration
- Run the office’s daily operations so the workplace remains professional, efficient, and welcoming.
- Handle facilities, vendors, service providers, and contract management with a focus on value and service quality.
- Coordinate purchasing and track office supplies and equipment inventory.
- Serve as the main contact for office operations and related queries.
- Assist with onboarding and offboarding activities, including workstation preparation, access coordination, and liaison with relevant teams.
- Organize internal meetings, events, and employee engagement activities.
- Take ownership of in-office event planning and delivery, including setup, coordination, and vendor/internal stakeholder liaison.
- Help shape, maintain, and improve office policies, workflows, and administrative systems.
- Champion the staff expenses and travel system.
- Oversee the card payment channel strategy and related relationships.
- Manage the travel program and associated system.
- Carry out other assigned duties as needed.
Executive Assistant Support
- Provide senior-level administrative and organizational support to the C-suite, including expense claim submissions.
- Manage calendars where needed, arrange meetings, and coordinate both local and international travel.
- Assist with strategic initiatives, special projects, and sensitive matters as required.
- Complete other assigned tasks as needed.
Corporate Group Support
- Manage the group’s corporate insurance arrangement.
- Work closely with office and business managers in other locations to ensure consistent support across the group.
- Own the group travel guidelines and respond to employee questions related to them.
- Carry out other assigned duties as needed.
What We’re Looking For
- A bachelor’s degree in business administration or a related field.
- At least 6 to 8 years of experience in an Executive Assistant or Office Management position.
- A professional approach with strong confidentiality and integrity.
- Excellent communication, interpersonal, and coordination abilities.
- A proactive mindset with strong problem-solving and resourcefulness.
- Strong time management and prioritization skills.
- Comfort using the Microsoft Office suite, including Excel, Word, PowerPoint, Outlook, and Teams.
