Role Summary
An experienced Executive Assistant is needed to provide broad, high-level support to the Chief Financial Officer. This person will act as a trusted point of contact for internal teams and outside stakeholders, help control the flow of information, and operate as a strategic partner who can handle highly sensitive material with complete discretion.
What You’ll Do
- Act as the CFO’s main liaison and manage the flow of information in and out of the executive office.
- Coordinate complex calendars that change frequently, making sure priorities and time commitments are handled efficiently.
- Track key projects, follow up with direct reports on deadlines, and keep leadership informed on status updates.
- Arrange domestic and international travel, lodging, and itineraries, and prepare expense reports and invoices accurately and on time.
- Draft, edit, and manage executive-level emails, memos, and other correspondence for internal and external audiences; handle mail and phone inquiries professionally.
- Build meeting agendas, briefing notes, presentations, and supporting materials for executive meetings, town halls, and company events.
- Work across departments to speed up requests, resolve operational issues, and balance competing priorities in a calm and effective way.
- Operate independently from start to finish under tight deadlines while adapting quickly to shifting priorities and unexpected changes in a fast-paced retail and e-commerce environment.
Requirements
- At least 8 years of executive support experience, ideally assisting C-suite leaders such as a CFO, CEO, or founder in fashion retail, entertainment, or digital businesses.
- Bachelor’s degree or comparable hands-on professional experience.
- Strong written and spoken communication skills with excellent grammar, punctuation, and a polished professional style.
- Advanced proficiency in Microsoft Office tools, especially Word, Excel, and PowerPoint, plus Google Workspace.
- Ability to create clean presentations and work with basic spreadsheets or data for financial and operational reviews.
- Demonstrated ability to manage confidential corporate, financial, and personal information with the highest level of integrity.
- Excellent organization and a strong instinct for prioritizing tasks in real time under pressure.
