Role overview
This position is for an Administrative Executive supporting the regional office in Kolkata (Salt Lake / Industry House) on a third-party payroll arrangement. The role calls for someone organized, proactive, and attentive to detail, with the ability to keep office processes running smoothly and assist internal teams as well as guests.
Core responsibilities
- Run front-desk activities such as answering calls and emails, welcoming visitors, and managing meeting room reservations.
- Track office consumables and stationery, and work with vendors to make sure supplies are replenished on time.
- Help arrange travel-related needs, including local transport and hotel stays whenever necessary.
- Coordinate meetings, draft simple minutes of meetings, and support related logistics.
- Manage courier movement, inward and outward mail, and maintain orderly records and filing.
- Work with housekeeping and facility teams on maintenance requests and follow up until issues are closed.
- Assist with data entry, report creation, and document preparation using MS Excel and MS Word.
- Support HR and Finance with administrative tasks such as attendance records, invoice handling, and bill processing.
- Maintain office discipline and follow confidentiality and safety practices at all times.
Candidate profile
- A graduate in any discipline.
- 1 to 3 years of experience in administration, office coordination, or front-office support.
- Working familiarity with MS Excel, Word, and Outlook.
- Strong verbal and written communication along with coordination abilities.
- Comfortable handling multiple tasks in a busy work environment.
- Professional, helpful, and service-focused in approach.
- Must be based in Kolkata.
Preferred background
- Experience working in a corporate office setting.
- Exposure to vendor handling and facility-related coordination.
- Basic knowledge of invoice and billing workflows.
Additional information
This is an off-roll role filled through third-party payroll. Preference will be given to candidates who can join immediately and are located in Kolkata. The compensation budget is up to 5 to 6 L, depending on skills, experience, and previous CTC.
