Role overview
We are looking for a meticulous Administrative Data Entry File Clerk who can help keep business records accurate, well-organized, and easy to retrieve. This remote role is suited to someone who works well independently, handles documentation carefully, and takes ownership of data quality and file management.
What you will do
- Receive documents through shared inboxes, portals, internal ticketing systems, and cloud-based folders.
- Check files for the correct document type, required details, signatures, and supporting attachments.
- Tag and catalog records using standard metadata such as client or project ID, date, category, version, and region.
- Organize files with consistent naming patterns and folder structures.
- Convert and prepare documents as needed, including merging or splitting PDFs, turning images into PDFs, compressing files, and applying version labels.
- Maintain structured document libraries with clear separation between final, draft, and archived records, along with retention labels.
- Carry out daily quality checks to identify duplicates, misplaced files, missing pages, and unreadable scans.
- Record issues, route exceptions to the correct owner, and add clear notes for follow-up.
- Keep error logs updated and help improve processes that reduce rework.
- Protect sensitive records by following confidentiality rules and access restrictions.
- Apply retention timelines, legal hold instructions, and deletion or archive procedures correctly.
- Support audits by retrieving records quickly and documenting chain-of-custody steps.
- Coordinate with HR, Finance, Operations, Legal, or Customer teams to clarify filing requirements.
- Share updates on backlog, turnaround time, and any issues discovered during processing.
Tools and working environment
You may work with cloud storage platforms such as Google Drive, SharePoint, or Dropbox, document tools like Adobe Acrobat or similar software, spreadsheets, ticketing tools such as Jira, Asana, or ServiceNow, e-signature systems, and standard office productivity applications. The role is fully remote and requires consistent self-management and reliable follow-through.
